Editorial supplement

Wisconsin Week editorial supplements (or inserts) present an effective and economical alternative to costly individual mailings, mass e-mails and other efforts to reach faculty and staff campuswide. Content of inserts is subject to approval by Wisconsin Week editors.

Wisconsin Week regularly includes special sections highlighting campus units that want to provide information to a campuswide audience. Wisconsin Week charges to recover only the actual costs of printing and distributing these supplements to about 24,000 recipients. The audience includes all faculty and staff, many emeriti and retired staff, hospital employees on the campus payroll, and about 1,200 off-campus subscribers including alumni, donors and interested others.

Here are some basic facts that may help you with your planning:

  • Units that request print space in Wisconsin Week are charged a prorated amount for out-of-pocket costs only, including printing and materials, postage and mailing.
  • Supplements appear in the middle of the paper in the same general format as the rest of the paper. About 24,000 copies of the supplement are printed and distributed along with Wisconsin Week to all faculty and staff and other subscribers.
  • You must provide your materials in an electronic format that fits Wisconsin Week's page size and printing specifications (more detail under the heading "Printing Requirements" below. Final material is due to Wisconsin Week 10 days prior to the date of publication.
  • Units that do not have a graphic designer in-house usually contract with designers at University Communications to produce printer-ready materials.
  • Wisconsin Week does not accept pre-printed inserts that must be hand-inserted into copies of the newspaper because of the time, labor costs and associated charges. All inserts must be printed as part of the regular press run.
  • If you want additional copies of your supplement for distribution off campus or to other audiences, Wisconsin Week can schedule an additional press run, at additional charge, using Wisconsin Week's existing printing contract.

Base printing cost of a four-page supplement: $567.50
Other materials, bundling, labeling, postage and delivery: $802.50
Total base cost: $1,370

Options:
Spot color, four pages: Add $118.75, for a total of $1,488.75
Full color, four pages: Add $250, for a total of $1,620

Printing requirements

Page size: Supplement pages must match Wisconsin's Week's page size of 11.375 inches wide and 16 inches deep (live area is 10x14.5 inches).

File format: The campus unit must provide supplement material as finished layouts in electronic format — ideally, each page or spread should be a separate PDF or EPS file. Another acceptable electronic file format would be as a Macintosh-compatible Quark Xpress document.
